UMM Executive Committee - Wednesday, May 7th, 2008

Minutes

Attending were Eric Eaton, Steve Lillie, Harold Moyer, Rich Higgins, Morris Rice, Arlo Wagner, Clarence Waldroff, Steve Warren and Jerry Watkins.  Pastor Adam also attended. The meeting was started a bit after 7:30 PM by Harold as Eric was slightly delayed due to a meeting with Adam.

Clarence reported that one of the Dodge van taillights was repaired and the air conditioning on the small bus was recharged.

The April 30th financial report, presented by Harold, showed $47,729 in assets, $35,900 in liabilities – all of which are ear-marked funds - leaving us with spendable funds of $11,829 up $6,415 since the end of March.  The $8,995 profit from the yard sale was an all-time record.  $6,000 has been donated to the window fund.  Harold is working on a method for monthly average "leveling" of our pancake breakfast supply costs which would eliminate the current situation of adversely affecting our giving when supply costs are higher than average.  Harold also presented historical information from all UMM fund raising events from 1998 to the present.  This revealed that the proceeds from four of the five breakfasts this year were all-time highs for those months.

Reflecting on the recent very successful yard sale, it was pointed out that we had several new volunteers who enjoyed the experience and are planning to help at the fall sale.

Eric identified three possibilities for the UMM giving program – Nothing But Nets, Capital Area Food Bank and Shepherd's Table.  It was decided to give $200 gifts to each.

Based on Adam explaining how the Pastor's Discretionary Fund is funded and that it currently has a couple of thousand dollars in it, it was decided that a UMM gift is not needed at this time.  Jerry made a motion that if – at some time – the fund does need additional funds, Adam should make a request to the UMM.  The motion was approved.

Regarding the four new windows that the UMM will fund in the library, the pastor's office and the office, the two in the library will be given in memory of Bill and Mary Burnett.  The other two may not be specifically given in honor or memory of anyone.  Clarence explained that a listing of all of the new windows will be made which will include any information re windows given in honor or memory of individuals.

Eric reported that Brian Ruberry, Gary Ditto and one or two of his sons have volunteered to prepare, deliver and serve the 5/8 supper at the Community Based Shelter.  Jim Smith and George Simpson also volunteered and will be called if needed.  Eric will buy the food and help prepare the meal in the kitchen.

Regarding the 40th anniversary of the pancake breakfasts that will be celebrated at the September breakfast, several suggestions/ideas were discussed.  A summary of them is attached.  Committee members were asked to submit additional ideas to Jerry.

Jerry mentioned that he has initiated action, through Chris Van Hollen's district office, to see if there is some way to obtain handicapped parking privileges for our van and bus.  Rich said he would check to see if this is something that could be done within existing state regulations and policies or whether it might require new legislation.

Steve W. said he will be doing blueberry pancakes for the June breakfast.

Although not discussed at the meeting, but mentioned by Eric in an e-mail on 5/8, the June 4th supper/general meeting will be our year-end usual free father/son cookout and there will be another mini golf/supper event in July.

There being no other business, the meeting was adjourned at 8:35 PM.

Respectfully submitted.

Jerry Watkins - Secretary
